Next, navigate to your Bank Transactions dashboard. Look closely at recently imported items sitting in the For Review tab. If you or an employee previously entered a transaction manually, the bank feed will often fail to match it correctly, offering to add it as a new expense instead. Always verify whether a manual entry already exists before accepting a new bank feed item.

Run a Transaction Detail Report

When duplicates are hiding in months of historical data, visual scanning isn't enough. Navigate to your reporting dashboard and run a Transaction Detail by Account report. Customize this report by narrowing the date range and sorting by transaction amount or vendor. Patterns usually emerge immediately, allowing you to pinpoint the exact dates where integrations or bank feeds overlapped.

Delete or Exclude the Culprits

Before you hit the delete button, determine which version of the transaction to keep. Always retain the version that is already reconciled, linked to a specific bill or invoice, or contains attached receipts. Keep the most complete record.

To remove a manually entered duplicate, open the transaction, click the More tab, and select Delete. If the duplicate is waiting in your bank feed, simply check the box next to the transaction and select Exclude. This moves it out of your active queue without impacting your reconciled register.
